I spend a lot of time replying to customers who are saying they haven’t received the item, yet as I use the Royal Mail delivery confirmation (2D barcode) on the shipping labels, after checking this, it has shown this has been delivered. 9 out of 10 times this causes the customer to leave the case alone, effectively they were just trying to pull a fast one and claim a refund. Other times it will make them ask the house hold and miraculously the item was taken by their child with out their knowledge, however doing this process is quite tiresome, I must do it currently around 20 times a day. I will show you the process below how I am doing it in replyco, (screen shots are attached and referenced below).
Screen 1
This is where the customer has messaged saying they haven’t received. I see in the bottom right you are currently trying to implement the Linnworks order id, this will help in having to bypass screen 2.
Screen 2
This is where I have to paste in the amazon order id or ebay username to find the Linnworks order id. I have noticed that the field in customer details, does not always show the ebay username and sometimes is just their name. I then have to copy the ebay username from the message field which is a hyperlink and take a little longer to perfectly highlight to be able to copy.
Screen 3
I then copy the Linnworks order id into the manifest to find the tracking id. Ps I do not upload these standard 2D tracking ids to eBay or Amazon due to them not being actual tracking ids and can cause havoc with metrics, I’m guessing you probably already knew that.
Screen 4
I then copy the 2D barcode
Screen 5
Enter this into the track and trace on Royal Mail.
I then copy and paste this data to the customer along with their postal address.
Like I said 9 out of 10 times this does cause the customer to never respond again and does not result in any negative feedback, most of the time.
It would be good if there was a way of being able to click a button in replyco that could magically pull the manifest data from the current order. I know it’s a big ask and not sure if it’s something that can be done but it would save a lot of time. I’m sure I wouldn’t be the only person who uses the 2D barcode to show a delivery was made. This does also cause eBay to be in favour of the seller when a customer reports a none delivery of goods, even if the barcode was not uploaded when despatched.
